Main Responsibilities


  • Manage calendars using Google Calendar, including scheduling, confirming, organizing, and reviewing appointments.
  • Plan and coordinate arrangements for frequent business travel, including flights, accommodation and ground transportation.
  • Serve as the primary contact between executives, employees, clients, and external partners.
  • Assist in preparing slide decks and coordinating catering for office and team meetings.
  • Handle the setup and routing of documents for signatures.
  • Compile and submit receipts for monthly expense reports.
  • Conduct research on various topics as needed.
  • Maintain confidentiality and demonstrate a high level of discretion and professionalism.

  • Job requirements

    • Excellent English verbal and written communication skills.

    • Outstanding interpersonal, organizational, and communication skills.

    • Proactive and problem-solving skills.

    • Experience managing complex calendars, optimizing whenever possible, and confidently expecting and handling last-minute changes.

    • Ability to communicate with different levels of executives and team members.


    Nice to have:

    • Startup background or experience working in a hyper-growth environment.

    • Previous experience as an Executive Assistant, Personal Assistant, Virtual Assistant, Project Coordinator or similar administrative roles.

    • Knowledge of using G-suite, Zoom, Slack, AmazonWorkSpaces.

    Further details:

    • Hybrid position working with US teams based in Kosova, Albania, and Macedonia

    • Schedule: Monday-Friday, 3 pm - 11 pm CEST (Skopje, Prishtina, Tirana local time)

    • Indefinite contract
